    Default Feature Focus – Quick Quotes

    As the name Quick Quotes suggests the quoting feature within Biz.Transact is designed to be simple and effective, and the feedback we receive tells us to keep it that way. The core purpose of Biz.Transact is the payment processing functionality and we see Quick Quotes playing a role in that purpose.

    With regular customers and verbal agreements quotes are not always needed however we’re hearing more and more these days that potential customers want a quote to think over and possibly shop around. Biz.Transact takes the view that if you can get a personalised professional looking quote out immediately, rather than later that night from your home computer, you stand a better chance of winning the business.

    In my following posts to this thread I’ll go into detail about Quick Quotes functionality, usages and customer questions we receive.

    From new enquiries we receive, along with feedback from existing customers, home services businesses generally have several typical services they sell. These typical services may vary in amount but the descriptions and notes are mainly the same.

    One of the most popular discoveries we hear customers making is the ability to reuse content for new quotes – “…don’t have to start from scratch each time”. A Quick Quote can take less than a minute to create and send, or a little longer if the requirement is unique. You can do a Quick Quote from scratch (simple in its own right) or if you want to take advantage of reusable content below are the 2 main ways to approach it -

    Prepared Template – STEPS - from Menu > go to Service Templates > Go to New > … insert a Job Description / Amount: / # Services: / Notes / … then Save. The Service Template is a shared storage of data that can be used during the making a Sale or the generating of a Quote.

    On the fly Template - You’ve just made a Sale and sent the Invoice. STEPS – tap the Arrow menu (top right) > tap Save Sale as Template > … this will save the content of the invoice as a template which can be used for future Sales and Quick Quotes (very handy).

    We received an enquiry on Tuesday, and similar on Friday, about resending quotes that have expired – is this a common requirement?

    Q. …can I send the original quote back to my customer? – it’s expired or they lost it.
    A. Yes, when you send a quote you also save it under that customer in your database. To resend a quote – from the specific customer screen > go to Menu (top right) > tap on View Saved Quotes > from the list tap on the quote required (expired quotes will be highlighted in red) > tap on Email to Customer (if expired adjust the Quote Valid Until date) > Send email.

    The quote expiry date is an interesting topic. Biz.Transact places a default date of one month forward in the Quick Quote preparation screen, an entry field that can be changed on a case by case basis. I’d be interested to hear what factors determine the period a quote is valid until in your business.
